Cascadia Chapter General Meeting

March 22, 2008

The meeting was called to order by President Dorene Thomas at 10:40 a.m. at North Whidbey RV Park in Oak Harbor, Washington.

Introductions of new members and guests were made.

Karlene Field, RVW National Advertising Representative, asked members to support the advertisers of the magazine.  Businesses supported RVW with $48,679 in advertising last year.  Karlene will also be taking orders at the next event for purchasing RVW flags at a cost of $14.99.  Tote bags with the RVW logo on them will be available for free if the advertiser puts his logo on the bag, too.

Shay Gumm announced that the Solo group now has 30 members.  The group will meet after the General meeting and anyone interested in more information is welcome to attend.

Shelly and Lisa suggested that the website contain a link where members can let them know of someone needing a get-well card or another note of encouragement.

Minutes:  Judy Polenske read the minutes of the January 13, 2008, Board meeting held at Mitzel’s Restaurant in Fife.  An addition was made to the minutes that Western RV News encourages members to submit articles to their magazine.  The minutes were approved as amended.

Treasurer’s Report:  Kay Piehl reported a balance of $2,450.53 as of March 20, 2008.  Since then she has collected an additional $877.60 in dues, donations, new member fees and future event site deposits.  Expenses paid total $100.70, leaving a current balance of $3,227.43.  The Treasurer’s Report will be filed for audit.

Registrar’s Report:  Pat Lebbert reported that registration for the Mossyrock event in May is closed.  We were offered 40 sites this year.  Anyone else wishing to attend will be put on a waiting list.  There are other parks in the area that people can contact for a reservation.

The April event in Poulsbo is closed, and deposits should now be sent to the Treasurer.  There are, however, sites still available in Poulsbo, but members will need to call the park directly.

Remember – register all events through Pat unless you are notified to call the park directly.

Event Coordinator’s Report:  Alice Burk reported that there will be 4-6 Divas for each event and 2 “Hi There” girls.  The Event Captains will be in charge of the weekend activities.   It was suggested that the roles of Event Captains, Divas, and “Hi There” Girls be posted to the website.

The team asked for feedback on the proposed by-laws changes.  They will be voted on at the Mossyrock event in May.

Rules Committee:  Shay Gumm, Linda James.  Linda presented the proposed rules.  Discussion followed.  A motion was made.  After several amendments to the original motion, the motion to accept the Chapter Rules was made and the membership voted to approve the Chapter Rules. The Chapter Rules will be posted on the web site.

Commander of Clothing:  Lori said that the catalog will be available throughout the weekend.

Dorene introduced the other committee members.

NEW BUSINESS:

2008 Budget Proposal:  The membership reviewed the proposed operating budget for 2008.  The carry-over from 2007 is $2,450.53.  Projected income is $840 and projected fixed expenses total $840, leaving monies in the amount of $1,610.53 available for events/activities and miscellaneous.  The budget was accepted as presented.

There was a proposal to purchase phone cards for Board members to make calls required to do Board business.  The Board will take the proposal under consideration.

Announcements:

Linda James brought up the issue of member-owned businesses promoting their business within the Chapter.  In the past members weren’t allowed to make presentations to the Chapter and now it seems like the opposite is happening.  Linda said that Cascadia needs to have a policy on this matter.  Discussion followed.  It was mentioned that Mr. Flush-It came to Mossyrock a few years ago and he didn’t pay us to advertise his product.  Ideas were to have a Trade Fair at one of our events where member-owned businesses could promote their business, or the business could donate an item to the annual auction, or be allowed to place their business card on a table.

Sue Ellen spoke about the auction at Mossyrock.  Members are encouraged to bring items or offer some type of service.

Jo Schilling announced there will be a raffle for two free sites at the August event in Canada – each site valued at $70.  Tickets are $2 each or six tickets for $10.

Adjournment:

The meeting adjourned at 11:58 a.m.

Respectfully submitted,

  Judy Polenske
